Zoho CRM + WhatsApp API: customer communication

At MundoJob I built a flow so the team could talk to customers in an organized, timely way — without the manual follow-up that used to eat hours from the day.

The foundation was Zoho CRM connected to WhatsApp API: messages and status tied to the contact and process stage, not just someone’s phone.

Problem

Customer follow-up — and some internal communication — relied on manual steps. One sales person closed a WhatsApp chat; another picked it up with no context. Easy to lose the thread, delay replies, and repeat the same confirmation or reminder.

CRM and chat lived apart. What mattered for the business sat on the phone of whoever “knew,” and the team spent time copying data or asking “who spoke with this contact?”

Without a clear owner or visible history, follow-up became uneven: some leads got solid attention; others went cold before anyone noticed in time.

Approach

I built the communication on Zoho CRM with WhatsApp API integrations. The point wasn’t a bot that sells on its own — it was tying each relevant message to a contact, an owner, and a funnel stage, without replacing human judgment.

Work started with discovery: which cases actually hurt (inbound leads, reminders, process status), which minimum fields had to land in the CRM, and who answered what. From there we built flows and templates only where they helped — not automate everything on day one.

Then came the technical connection, testing with the people who use it daily, and adoption tweaks: fields, views, and habits so the channel stopped living apart from the CRM and became part of day-to-day work in Zoho.

Outcome

Follow-up stopped depending on a personal phone or someone’s memory. The team can pick up a conversation with context and prioritize without hallway questions.

There’s less repetitive work on confirmations and reminders, and day-to-day attention is faster, with less back-and-forth: when a message comes in, there’s a clear place it lives and what comes next.

Most importantly, the channel became usable for real — not just “connected” on paper — because it matched the commercial process the team already needed to sustain.
